1. Review your operation

Discuss equipment configurations, driver counts, inspection practices, and the records your office needs.

2. Review equipment and checklists

Bring your equipment list and current inspection questions. Confirm which settings fit your process.

3. Set up access and recipients

Identify drivers, administrators, report recipients, and the company contacts drivers should use.

4. Introduce the driver workflow

Walk through inspection entry, required photos, saving an unfinished entry, messages, and the end-of-shift report.

Practical questions, before you start.

How do drivers open the app?

Your company administrator provides the Driver App link and temporary password when adding you. Open the supplied link in your phone browser and follow the sign-in instructions. The separate Driver Demo uses sample data.

Can I stop and continue an inspection?

On the inspection entry screen, use Save Entry before leaving. Return on the same device and choose Continue Saved Entry. Saving an entry does not submit the completed inspection.

What requires an internet connection?

Plan to have a connection for sign-in and sending reports. Save Entry is not a promise that every inspection step works offline. Ask for a demonstration of connection-loss behavior before relying on offline use.

Can we use our own inspection questions?

The Admin Portal includes checklist controls. Bring your current inspection questions to the walkthrough so the available configuration can be reviewed.

Who receives reports?

End-of-shift inspection PDFs go to the driver and designated administrator. Accident reports follow their configured recipient and archive settings. Review recipient setup during onboarding.

How do we retrieve earlier records?

Ask for a walkthrough of the Admin Portal’s reporting and archive controls. Available date coverage, filtering, access, and retention should be confirmed for your operation.

What setup help and support are included?

Discuss checklist setup, user access, training, and support with your fleet inquiry. Included services, fees, and response times must be agreed before starting.

Are truck documents available to drivers?

Yes. In the Driver App menu, select Truck documents, choose the truck number, and tap a document title to open it. Administrators manage the document list from Truck Assets.

Company setup comes first

Contact Fleet Protect 365 to arrange your company setup and administrator access. Your administrator then adds authorized team members and configures the company’s workflow.

Administrator access

Open Admin Login and enter your email and password. The dashboard runs in your browser, so there is no separate dashboard file to download.

Driver access

Your administrator sends you the Driver App link, Employee ID, and temporary password when adding you. Open the supplied link and follow the prompt to choose a permanent password.

On your phone

Keep the Driver App close at hand.

Use the Driver App in your phone’s browser and add a home-screen shortcut for quick access.

Adding a shortcut does not create an account or bypass sign-in. Your administrator provides your access.

iPhone

Open the Driver App in Safari. Open the Share menu, choose Add to Home Screen, and confirm Add. Available menu wording varies by iOS version.

Android

Open the Driver App in Chrome. Open the browser menu and choose Add to Home screen; if Install is offered, follow the displayed steps.

These are browser/home-screen access options. Fleet Protect 365 is not presented here as an App Store or Google Play download. Internet is needed for sign-in and sending reports.
